Common Marketo to HubSpot Migration Problems
A connector can move records. You decide what's worth keeping.
Engagement/activity history doesn’t move with standard tools
Some Marketo data doesn’t transfer directly to HubSpot and requires manual workarounds — teams typically export reports from Marketo and manually import key engagement data, and historical attribution data has to be exported for reference and rebuilt as reports in HubSpot rather than migrating natively — this lines up with everything we’ve covered earlier about custom events and timestamps.
Unique-key and ID-matching decisions are foundational, and easy to get wrong
The contact unique key and the treatment of consent, opt-outs, and marketing-contact status need explicit approval before migration — getting this wrong doesn’t just create duplicates, it can also misassign historical activity to the wrong merged/split record.
Contacts can arrive with no score at all, breaking automation dependent on it
Contacts that arrive without a score will not trigger MQL workflows — this is a direct example of a pure data problem (a missing/null value) having a functional consequence, even without touching the automation layer itself.
Consent/opt-in fields look right but mean something different
Consent is almost never one-to-one between platforms — in Marketo, consent is often flattened into fields like “Opt-in,” “Marketing Suspended,” or custom booleans, and during migration the values transfer and the field names look right, but the data doesn’t fail loudly.
Lead ID → HubSpot contact ID matching
Since contacts are syncing via the native integration, you need every migrated activity to attach to the same HubSpot contact record the native sync already created — meaning your matching key (almost always email) has to perfectly reconcile Marketo Lead ID to the native-synced HubSpot contact. Any mismatch (a Marketo lead with no email, a merged/duplicate lead) creates an orphaned activity with nowhere to attach.
Custom events do not preserve historical timestamps upon import
Every one of these activity records needs its real occurredAt timestamp preserved on import, not the import date, while when import is made via CSV, custom events are created with an import date. In order to import these events correctly backdated, API migration is required.
Why Businesses Move from Marketo to HubSpot
1. Cost — licensing and total cost of ownership
Marketo implementations accumulate debt, and Marketo isn’t cheap to maintain. The switch is an efficiency decision, not a capability verdict — most companies aren’t leaving because Marketo stopped doing its job, they’re leaving because keeping it running costs more than it’s worth relative to the alternative.
2. Needing dedicated technical staff just to run it
Marketo can be expensive, and it’s not a platform most marketers can run independently — this echoes what we covered earlier about SFMC needing a dedicated technical admin. For smaller businesses, Marketo can be overkill — companies choose it, then soon discover it’s more than they need and more than they can manage.
3. Consolidating CRM and marketing automation into one platform
Marketo is a tool that integrates with your CRM, rather than being one itself, whereas a Marketo to HubSpot migration is typically combined with consolidating onto HubSpot CRM to replace a separate sales CRM and simplify the martech stack. HubSpot was built as a unified system from the ground up, eliminating the need for a separate CRM and complex integration layer — this is probably the single biggest architectural reason, since it removes an entire category of integration maintenance (and the overhead that comes with keeping two systems in sync, which you and I have been discussing at length this whole conversation).
4. Ease of use and operational speed
HubSpot’s drag-and-drop editors and visual workflows let marketers move faster without relying on ops teams, and Marketo and HubSpot aren’t architecturally identical — concepts like engagement programs and nurture tracks become HubSpot Workflows, usually straightforward to translate but requiring each trigger to be mapped to its HubSpot equivalent. This is less “HubSpot can do more” and more “fewer people need specialized training to use it day-to-day.”

The Migration from Pipedrive to HubSpot Process, Step-by-Step Guide
We take a hands-on approach to integrations, working collaboratively with you every step of the way and providing support from the initial stages through post-launch. Our process consists of five carefully crafted steps.
How a Pipedrive to HubSpot Migration Works. Every migration follows the same core process, whether you run it yourself with MigrateMyCRM or bring in our team for a fully managed project. Use this as your Marketo to HubSpot migration checklist.
Audit your Pipedrive data
We start by reviewing what's actually in your account — people, companies, opportunities, activities, custom fields — and flagging what's outdated, duplicated, or no longer worth carrying into HubSpot.
Map your fields and objects
Marketo and HubSpot don't always match one-to-one — People, in particular, mean different things in each system. We map every field and object with AI-powered automapping, then give you full control to edit, add, or adjust mappings before anything moves. This step covers how to migrate Marketo custom fields to HubSpot without losing the data behind them.
Run a free sample migration
Before committing to the full project, we migrate a sample of your data so you can see exactly how it lands in HubSpot — structure, fields, and all — with no cost and no obligation.
Run the full migration
This is where you migrate Marketo activotoes to HubSpot, along with contacts, companies, opportunities, attachments, and their associations — with relationships preserved, not just records copied over.
Post-migration support and delta migration
Once you're live, delta migration covers anything created in Marketo during the transition, and our support team is available for questions as your team settles into HubSpot.

FAQs
Everything you need to know about Marketo to HubSpot migration.
Planning a move from Marketo to HubSpot?
We've answered the most common questions about the migration process, including what data can be migrated, how long it takes, how custom fields and pipelines are handled, and how to ensure a smooth transition with minimal disruption.
What does MigrateMyCRM actually migrate from Marketo to HubSpot?
Most clients use HubSpot’s native Marketo integration to sync core contact and company records. Where we come in is everything that native sync doesn’t handle: historical engagement and activity data — emails sent, opens, clicks, form fills, and other activity history — migrated into HubSpot as custom behavioral events, fully associated with the correct contact records
Will we lose any engagement history in the move?
Not from our side, but there’s an important caveat worth knowing upfront: Marketo itself doesn’t retain all activity data indefinitely. Standard lead activity is retained for a rolling 25 months, while certain high-volume activity types (commonly email opens) may only be retained for 90 days. We migrate everything Marketo still has — but we can’t recover data Marketo has already aged out before migration begins.
Why does engagement history matter if we already have a final lead score?
A single score tells you where a contact ended up, not how they got there. Without the underlying event history, you lose the ability to build recency-based automation (“re-engage if inactive 90 days”), trend and attribution reporting, and the day-to-day context your sales team relies on when they open a record. We preserve the full activity trail, not just a snapshot number.
Do the migrated events keep their original dates?
Yes — every migrated activity carries its real historical timestamp, not the date of migration. This matters more than it sounds: without accurate dates, every migrated contact would look like they just became active today, which breaks recency-based workflows and makes trend reporting meaningless.
Can we build reports on the migrated data in HubSpot?
Yes. Once migrated as custom events, your team can build custom reports and dashboards in HubSpot’s report builder, and use the migrated activity in attribution reporting. One technical note: HubSpot’s report builder uses one custom event per report, so a metric like “open rate” (which needs both sends and opens) is built as two linked reports rather than a single native calculation — we can walk you through the cleanest way to set this up.
What about lead scoring — does that come over too?
We can migrate the final score value as a property, but lead scoring logic itself is a model, not a data field, and it needs to be rebuilt in HubSpot rather than copied. Marketo and HubSpot score fundamentally differently (Marketo typically separates demographic and behavioral scoring; HubSpot’s model is usually simpler and cumulative), so porting a stale score without rebuilding the logic behind it often does more harm than good.
Does this affect our live Marketo-to-HubSpot sync while it’s running?
No. Activity migration is a one-time historical backfill that runs independently of your ongoing native sync. We match each migrated activity to the HubSpot contact record your native sync has already created, so the two processes don’t conflict.
What do we need to have in place before starting?
Active API access to your Marketo instance, confirmation of your native HubSpot-Marketo sync setup, and ideally a deduplication pass on your Marketo contact database beforehand. We’ll also ask which activity types matter most to you, since not everyone needs every type of historical event migrated.
How to Migrate from Marketo to HubSpot: A 5-Step Guide
Reviewed by the MigrateMyCRM team at SyncMatters — a HubSpot Elite Solutions Partner and ISO 27001–certified CRM data migration platform.
Migrating from Marketo to HubSpot doesn't have to mean messy CSV exports, manual imports, or duplicate records. Below is the exact Marketo to HubSpot migration process — five steps from connecting your accounts to a fully validated data transfer.
Step 1: Connect Your Marketo and HubSpot Accounts

Enter your Marketo and HubSpot credentials to authorize a secure connection between the two systems. This replaces manual CSV exports and native import tools with a direct, authenticated integration — the standard first step in any Marketo to HubSpot data migration.
Step 2: Run a Free Sample Migration

Once connected, your Marketo to HubSpot field mapping is generated automatically. MigrateMyCRM then migrates a small sample of your records (about 10%) into HubSpot at no cost, so you can see exactly how contacts, deals, and companies land before committing to a full Marketo to HubSpot import.
Run the sample as many times as you need — each new one replaces the last, so you're always testing against a clean result.
Step 3: Review Your Sample Migration Results

Compare your sample against the original Marketo data. Auto-mapping handles most standard fields, but two areas typically need a manual check:
- Custom fields — Marketo custom fields don't always have a direct HubSpot equivalent and may need to be mapped by hand
- Leads vs. Contacts — this is one of the most common Marketo to HubSpot migration mistakes: Marketo Leads and HubSpot Leads/Contacts represent different things, and a default mapping can quietly create duplicate or mismatched records
Step 4: Update Your Field and Object Mappings

Adjust mappings for objects, fields, and users to match your actual sales process — not just the auto-mapped defaults. You can create and map new custom fields and users directly through the mapping interface, giving you full control over how your Marketo deals, contacts, and companies migrate to HubSpot.
Step 5: Run the Full Marketo to HubSpot Migration
-1.webp?width=720&height=405&name=Update%20Mappings%20(1)-1.webp)
Once your sample and mappings look right, proceed with payment and run the full migration. Contacts, companies, deals, activities, notes, emails, and attachments transfer with their associations preserved — so your migrated HubSpot CRM reflects real relationships, not just isolated records.
